Privacy Policy

What we collect, why we collect it, and what we do with it. Written for builders, their staff, their trades and their clients. Last updated 14 August 2026.

1. Scope

This policy explains how SiteStride handles personal information under the Australian Privacy Principles in the Privacy Act 1988 (Cth). It covers our website, the SiteStride application, and the client and trade portals we host on behalf of builders.

2. What we collect

Account and contact details (name, email, phone, company, role), billing details processed by our payment provider, content you enter into the product (jobs, estimates, schedules, photos, diary entries, timesheets, safety records, client and trade contacts), and technical data such as IP address, device and browser information, and usage logs. Site features may capture location when a user chooses to geotag a diary entry, photo or site check-in.

3. Where the information comes from

Most personal information comes directly from you or from users your company invites. Some comes from third parties you engage with through the product — for example a client who submits a change request in the portal, or a trade who completes an induction. If you enter someone else's details into SiteStride, you're responsible for having a proper basis to do so and for telling them how their information will be used.

4. How we use it

To provide and operate the product, authenticate users, send transactional email (quotes, purchase orders, variations, inductions, reminders and account notices), process payments, provide support, keep the service secure, meet legal obligations, and improve reliability and features. We don't sell personal information, and we don't use your job data to advertise to you or anyone else.

5. Who we share it with

Service providers who help run the platform — cloud hosting and database infrastructure, email delivery, payment processing, mapping and weather data, and AI providers for optional features such as document scanning and estimating suggestions. Each is engaged to process data only for the purpose we provide it. We also disclose information where required by law or to protect our legal rights.

6. AI-assisted features

Some optional features send content you submit (for example a schedule PDF, receipt or scope of work) to an AI provider to generate a result. Only what's needed for that request is sent, it's used to produce your output, and it isn't used to train third-party models. Don't paste information into these features that you wouldn't be comfortable processing this way.

7. Storage, location and security

Data is stored with managed cloud infrastructure and encrypted in transit and at rest. Access inside the product is enforced per company and per role at the database level, so site users can't reach commercial data and one builder's records can't be read by another. Some providers may process or store data outside Australia; we choose reputable providers with appropriate protections. Our Security page describes controls in more detail.

8. Cookies and analytics

We use cookies that are necessary for signing in and keeping your session, plus limited analytics to understand how the marketing site and product are used. We don't run advertising trackers. You can block cookies in your browser, but the application won't work correctly without session cookies.

9. How long we keep it

We keep your account data while your subscription is active. After cancellation your data stays available for export for 30 days, is then removed from active systems, and cycles out of backups afterwards. Some records — invoices and payment history — are kept longer where tax or legal obligations require it.

10. Your rights

You can access and correct your personal information from your account, export your job records to PDF or CSV, ask us for a copy of information we hold, or ask us to delete it where we're not required to keep it. If a builder holds your details as a client or trade, contact that builder first — they control that record and we act on their instructions.

11. Data breaches

We maintain processes to detect and respond to security incidents. If a breach is likely to cause serious harm, we'll notify affected account owners and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
