Running a Site Diary and SWMS That Hold Up
Two records decide most arguments on a residential job: what actually happened on site each day, and whether the high-risk work was planned and signed before it started. Both are cheap to keep while the job is running and impossible to reconstruct afterwards.
What a daily site diary should record
Keep it short enough that the supervisor will actually do it before leaving site. A useful entry covers:
- Date, weather and whether it was a wet day — rain days are the single most disputed extension-of-time claim. Log them the day they happen, with the conditions, not from memory at the end of the month.
- Who was on site — trades, crew numbers, approximate hours, plus deliveries and inspections.
- Work completed — against the program tasks, so progress and the schedule stay in the same language.
- Delays, instructions and issues — who said what, when. A verbal instruction recorded the same day is worth far more than the same recollection six months later.
- Photos — geotagged and timestamped where possible, especially of anything about to be covered up.
Why the diary pays for itself
Contract disputes, delay claims, defect allegations and insurance questions all turn on contemporaneous records — notes made at the time, not afterwards. A diary that shows the wet days, the day the client changed the tile selection, and the week the frame sat waiting on an engineer's response converts arguments into evidence. It also lets you keep the client genuinely informed: a short weekly feed of progress photos removes most of the "what's happening?" phone calls.
SWMS: what it is and when you need one
A Safe Work Method Statement is required in Australia before high-risk construction work starts — work at heights above two metres, work near powered services, demolition, trenching, structural alterations, mobile plant on site, confined spaces and similar. It sets out the high-risk activity, the hazards, the control measures, and how those controls are implemented, monitored and reviewed.
Requirements vary by state and are administered by your local WHS regulator (SafeWork NSW, WorkSafe Victoria, and equivalents) — check the current rules for your jurisdiction and work type rather than relying on a template's assumptions.
Making SWMS work in practice
- Job-specific, not generic — a template is a starting point; the controls must reflect this site's access, slope, services and neighbours.
- Signed before work starts — every worker doing the activity signs that they have read and understood it. Capture the signature digitally so it is dated and cannot be back-filled.
- Reviewed when conditions change — new trade, new plant, changed sequence, or after an incident.
- Available on site — the version being worked to must be reachable on a phone, not filed in the office.
Inductions, sign-in and credentials tie it together
An induction confirms each person knows the site rules, emergency arrangements and reporting lines before they pick up a tool — and it is where you verify white cards and trade licences. A daily sign-in then tells you who was on site, which matters for both an emergency evacuation and any later claim about attendance. Expiry dates on credentials are worth tracking automatically; an out-of-date licence discovered during an incident is a very expensive surprise.
